Corporate Account Terms for Business Travel

Purpose and Scope
These corporate account terms for business travel apply to corporate transportation accounts, authorized business travelers, executive assistants, travel managers, company-approved users and billing contacts who arrange chauffeured transportation through Black Chauffeur Limo Service LLC, operating Silicon Valley Chauffeur. Corporate accounts are intended for legitimate business transportation, executive travel, client hospitality, airport transfers, private aviation, events, meetings and group movement.
Use of a corporate account means the company, account holder, authorized user or booking contact agrees to these terms, the general terms and conditions, posted policies and any written reservation confirmation.
Authorized Users
Corporate account access is limited to authorized users approved by the account holder or company. Authorized users may include executive assistants, office managers, travel coordinators, finance contacts, executives or other company-approved personnel. The account holder is responsible for managing who may request service, approve reservations or access account information.
If an employee, contractor, assistant or traveler should no longer use the account, the account holder should notify the company promptly. The company is not responsible for unauthorized use that occurs before receiving clear written notice and having reasonable time to update account access.
Reservation Accuracy
Corporate account users are responsible for providing accurate passenger names, mobile numbers, pickup addresses, destination addresses, dates, times, flight numbers, airline details, FBO information, passenger counts, luggage counts, vehicle preferences, billing notes and special instructions. Inaccurate or incomplete information may cause delays, additional charges, missed pickups or service limitations.
For executive transportation, account users should include the passenger's direct mobile number whenever practical. For airport or private aviation service, flight and FBO details should be included before service begins.
Billing and Payment Responsibility
The account holder is responsible for authorized reservations, charges, waiting time, tolls, parking, additional stops, overtime, cleaning fees, damage charges, cancellation charges, no-show charges and other approved or policy-based costs. Payment terms may vary by account status, written agreement, credit approval, deposit requirements or payment authorization.
If invoices, card charges or account statements are disputed, the account holder should contact the company promptly and provide supporting details. The company may continue to collect undisputed charges while reviewing disputed items.
Account Security
Corporate account users should protect booking links, account credentials, payment details and internal travel information. Account access should not be shared with unauthorized individuals. If an account holder believes account access or billing information has been misused, the company should be notified immediately.
The company may suspend or restrict account access if it suspects misuse, fraud, nonpayment, unauthorized activity, safety concerns or violation of these terms.
Passenger Conduct
Passengers using a corporate account must follow reasonable chauffeur instructions and behave respectfully. Passengers may not smoke, vape, damage vehicles, harass chauffeurs, interfere with safe operation, bring illegal substances into the vehicle or create an unsafe environment.
The account holder may be responsible for cleaning, damage, downtime or other charges caused by passengers, guests or authorized users traveling under the account.
Cancellations and Changes
Cancellation terms, waiting time, no-show charges and change fees may depend on the reservation type, route, vehicle category, service date, written confirmation and account terms. Account users should cancel or change reservations as early as possible. Last-minute changes may not always be available and may create additional charges.
Corporate roadshows, event transportation, group reservations, private aviation service and specialty vehicle requests may require more notice than standard point-to-point transfers.
Vehicle Availability
Vehicle categories may include executive SUVs and Sprinter passenger van options depending on availability and trip details. Exact vehicles are not guaranteed unless specifically confirmed in writing. The company may recommend a different vehicle when passenger count, luggage count, route, timing or availability requires a change.
Confidentiality and Business Travel
Corporate transportation may involve executive schedules, client visits, confidential meetings, private aviation details or guest information. The company uses transportation information for service coordination and business operations. Account users should avoid sending unnecessary confidential business information that is not needed for transportation service.
Account Review and Termination
The company may review, suspend, limit or terminate a corporate account because of nonpayment, misuse, repeated inaccurate reservations, passenger misconduct, fraud concerns, operational issues or other business reasons. The account holder may also request account closure or changes to account access by contacting the company.
